School Receptionist
Position Summary
The Primary School Receptionist serves as the first point of contact for students, parents, staff, and visitors. This role demands exceptional organizational skills, professionalism, and the ability to manage multiple administrative tasks efficiently. The receptionist plays a vital role in ensuring smooth daily operations while maintaining a welcoming and professional environment.
1. Front Office & Communication
- Welcome and assist visitors, students, and parents with warmth and professionalism
- Handle incoming calls, respond to inquiries, take messages, and redirect calls appropriately
- Provide accurate information about school policies, events, and schedules
- Coordinate meetings, appointments, and parent-teacher conferences
- Mobilize staff for meetings and ensure timely internal communication
2. Administrative & Record Keeping
- Maintain accurate student attendance records and notify parents when necessary
- Oversee transport attendance logs for student pick-up and drop-off
- Organize and update vehicle documentation in line with school regulations
- Manage confidential records, including staff contracts and administrative files
- Assist with student registration and update learner records
- Sort, distribute, and manage incoming/outgoing mail and emails
3. Document Management & Office Support
- Photocopy, collate, and distribute exams, learning materials, and official documents
- Ensure timely preparation of documents required by staff and school leadership
- Maintain a clean, organized, and professional reception area
- Support school leadership with general administrative tasks
4. Procurement Support –Help source vendors, suppliers, and service providers for school materials and needs
5. Work closely with the school manager to update and maintain the school’s data management system for accuracy and efficiency
Qualifications & Requirements
- Diploma or Certificate in Office Administration, Secretarial Studies, or related field
- Proven experience in front office or administrative roles (preferably in an educational setting)
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office and basic data systems
- Ability to maintain confidentiality and professionalism
